Track Your Progress
CRM & Homework Tracker 📋
Log your CRM time and check off your homework as you go. This is the sheet we check in on together every Thursday.
✅ Post your introduction in the Facebook group
Introduce yourself, share your market, and include a six-month vision statement. Not vague... specific. What do you want? Write it out like you mean it.
✅ Watch the first two videos from the Bootcamp Hub
You do not need to watch everything... just these two. The mental load and brain dump session, and the lead intake and follow-up system. Those two will set you up going into Module One. Everything else we will cover together.
✅ Keep working on your brand identity
Use the Pink Sheet and the Canva Brand Kit Template to document your logo, colors, and fonts. If it is not written down yet... this week is the week.
✅ Define your target audience and four content pillars
Get clear on exactly who you are talking to. Then pick four content pillars that align with what that person actually cares about. These are the buckets your content will come from for a long time.
✅ Audit your social media profiles
Run through the business audit checklist. Pay close attention to your Instagram username and profile name... those are the only searchable fields on the platform. Make them count.
✅ Brainstorm your lead magnet
What specific problem does your ideal client have? What would they hand over their email address to receive? Start with one solid idea... specific is always better than broad.
✅ Complete your project instructions
Fill in all five sections. Start with your Pink Sheet... it covers most of what you need. If you want a different approach, ask Claude to interview you and answer its questions one at a time.
✅ Upload at least three knowledge documents
Aim for your brand voice guide, your branding doc, and at least one neighborhood guide. The more you upload, the better your project performs.
✅ Organize your chat workspace
Create dedicated chats for carousels, Reels, and emails. If you have a listing right now, start a chat for it and upload everything you know about it.
✅ Use your project this week
Do not wait for Part 2 to start. Use it, test it, see what it gives you. Come to the next tech call ready to share what you noticed.
✅ Duplicate the Buyer Workflow template
Open your copy of the worksheet and start filling in the steps you are already doing for your Buyers right now... every stage, Lead through Close.
✅ Assign tasks to your VA column
Go through each step and mark which ones could be delegated... even if you do not have a VA yet, start building the habit of separating "agent tasks" from "support tasks."
✅ Add anything that is missing
If you bring gifts, print books, or do something personal in your process... add it in. This is YOUR workflow and it should reflect how YOU actually work.
✅ Goal: complete this in one to two 45-minute sessions this week
Do not overthink it. Done is the goal here.
✅ Identify your most repeated tasks
Look at what you do over and over every week and pick one or two to build a skill for first. Start there.
✅ Use SS Build My Skill to build it
Type /ssbuildmyskill in any Claude chat and complete the interview. Don't overthink it... just tell Claude everything you need and it will do the structuring for you.
✅ Test it and refine
Try your new skill out. If something feels off, ask Claude to tweak it. Skills are meant to grow with you.
✅ Put your CRM time on your calendar
Pick the days and times you are going to log in each week and block them. Come to next Thursday's session ready to show us what that looks like on your actual calendar. Bonus points if you can tell us how long you spent in there each day.
✅ Track your CRM time on the accountability spreadsheet
Every time you log into your CRM this week, pop it in the spreadsheet... the date, how long you were in there, and what you did. This is your accountability tool and we will be checking in on it together next Thursday. The habit only sticks when we can see it.
✅ Write one client success story email
Pick one transaction you have had... or one you worked alongside a teammate on... and write it out from the heart. Walk your warm leads through the journey from nervous first call to keys in hand. Send it to your list this week... and mix up the day and time you send it so more people actually see it.
✅ Catch up on your Claude setup
If you have not yet been to the Tech Support call recordings, go watch them on the hub this week. Part 1 and Part 2 are both available now.
✅ Log into your CRM every day this week
Even 15 minutes counts. Track every session on the accountability spreadsheet in the hub... the date, how long you were in there, and what you did. We are checking in on this together every Thursday.
✅ Show up to your co-working session next Thursday
Pick your time (8:00 AM or 11:30 AM HST) and come ready to work. This is how we get your buyer flows done together instead of pushing them to the back burner.
✅ Seller flows, if you are ready
The seller flows are available in the hub now and you are welcome to start exploring them at your own pace. We stopped today at line 13 in the email templates and line 19 in the seller lead stage, so start there if you want a head start. If you are not ready, do not touch it yet... stay focused on your CRM and getting leads in your pipeline. Tina will be back and we will dig into the seller flows together properly in three weeks on July 30.
✅ Import your branding into Flodesk
Logo, colors, and fonts. Do this first before anything else. The tutorial is in the hub.
✅ Set up your lead intake form
Keep it short. Name, email, phone, Instagram, and one business-specific question. Build separate Buyer and Seller forms, or one combined form with a Buyer or Seller selector.
✅ Build your Zapier connection
Use the tutorial on the hub. Free plan is fine. One zap for Buyers, one for Sellers.
✅ Customize your three-email Buyer workflow
Download the template from the hub, make it look and sound like you, and add your booking link and buyer's guide using a Google Drive link. Then do the same for the Seller workflow.
✅ Test before you publish
Add your own email to the workflow first and make sure every email arrives on time, every link works, and everything looks the way you want it to. Then go live.
✅ Keep logging into your CRM daily
Track your sessions on the accountability spreadsheet in the hub. We are checking in on this every Thursday.
✅ Set up at least half of your Seller email templates
There are 30 templates at the bottom of your Seller workflow. This week, work through as many as you can... ideally at least 14 or 15. Set them up in Flodesk or save them as Gmail templates. This is the work that makes you look like the most prepared listing agent your Sellers have ever met.
✅ Keep logging into your CRM every day
Track your time on the accountability spreadsheet. Tina will be checking in on this the moment she is back.
✅ Start the August CRM challenge on Saturday
Get in the accountability spreadsheet and log every single session. Even 10 minutes counts. Tina wants to see your name climbing up that spreadsheet all month long.
✅ Set up at least half of your Seller email templates
Get them into Flodesk or Gmail this week. The templates are all at the bottom of your Seller workflow. This is the week to get it done.
✅ Start recording yourself on Loom
Pick one task this week... run comparables, review your MLS, whatever it is... and record yourself doing it. This is the beginning of your VA training library.
✅ Send the reconnection text
Take ten people from your CRM you have not spoken to in months and send the out-of-the-blue text Jen dropped in the chat. Short, warm, no pressure... just circling back to see if buying is still on their radar. She sent it to ten and got three responses.
✅ Pick one lead generation move and calendar it
One. Not all of them. A vendor table, a content day with a partner, a webinar date, a class or group you have been avoiding. Put it on the calendar with a real day and time.
✅ Build your weekly running list
Start a note on your phone titled with the week. Every follow-up, every name, every task. Check them off as you go, then roll whatever is left onto next week. Nothing falls through if it lives somewhere you look at every day.
✅ Make one person's day this week
Reach out to someone with no agenda attached. Invite them to coffee, send the text you have been meaning to send, tell them what they mean to you. Then notice how it feels 💜
✅ Finish your Buyer and Seller workflows
If they are not done, finish them this week. If they are, go back through and highlight every task that does not require your license, your face, or your relationship. That highlighted list is your first job description.
✅ Answer the visionary question honestly
If you never did another showing, another email, or another Canva graphic... what would you build with that time? Write it down. Business first, then Family. Be specific.
✅ Start your content tracker
Take the 30 days of content ideas you already have and load them into a tracker. Text on screen, caption, Canva link, status. Even if you are the only one using it right now, you are building the system your future hire will step into.
✅ Record one Loom this week
Walk through how you make a post, or how you run your follow-up, or how you set up a listing. One video. You are building your training library before you need it, which is the whole point.
✅ Sit with the number
Pick your biggest time drain, run the math on what consistency in that one pillar could produce over a year, and compare it to what support would cost. Bring what you find to next week 💜
✅ Set up your Claude project
If you have not already, get your listings project built. The two Claude classes covering this are on the hub.
✅ Grab today's listing skill, or build your own
Use the one Carol shared today, or run /ssbuildmyskill to make it yours.
✅ Run it on a real listing
Test it out this week so you know it is working before Part 2.
✅ Choose your one or two pillars and write them down
Not five. One or two. Then commit to them for the next six months regardless of what you see working for someone else.
✅ Block your filming day
Pick the day, put it in the calendar as a real appointment, and protect it. Then pull the MLS and line up the listings you want to tour. Get permission from the listing agents this week.
✅ Batch seven pieces before you post one
Film the tours, write the captions, load them into your content tracker. Get ahead first. Posting comes after.
✅ Do your voice interview with AI
Sit down and let it ask you questions until it can write like you. Save that as a project you can reuse every single time.
✅ Know your neighborhood numbers
Pull the last six months of sales in the area you want to own. Minimum, maximum, average. If you do not know your own market's price range, you cannot speak to it with authority... and that is a fifteen-minute fix.
✅ Rewrite one caption using the feeling
Take a post you already made, and rewrite the caption so the reader can picture themselves living there. Post it and watch what happens 💜
✅ Rebuild one post into a carousel
Take your next open house or listing post and rebuild it into a 4 to 6 slide carousel using the Imagine Yourself framework. Ask yourself where the feeling is in every slide.
✅ Fill one full week of your content tracker
Use everything covered today, then send it to your Realtor for approval.
✅ Message every single new follower this week
Every one. Then go back through your last few posts and message the people who liked and commented. Like a couple of their posts first, leave a comment, then send the DM. Warm, specific, no pitch.
✅ Rewrite one under contract post as a carousel
Take a closing you already posted and rebuild it as a story. The win, the neighborhood, what makes it special, the price range, and a comment-this-word invitation at the end.
✅ Steal a structure, not the content
Pick one agent whose posts pull people in. Screenshot a full carousel plus caption, feed it to AI with your own listing, and see what comes back. Then make it sound like you.
✅ Finish your Buyer flows
We are going back through these in depth next week. Get as far as you can before Thursday so we can use the time well.
✅ Pick your three pillars and write them down
One of them should be something you actually love that has nothing to do with houses. Coffee, hula, the gym, your kids, your community. That is the one people will respond to first 💜
✅ Run the full process on your next listing
Take Part 1 and Part 2 together and implement the complete listing system start to finish, from pre-launch through closing.
✅ Add the skills to your account
Load them in, then ask Claude to adjust them to fit how you work. Remove what you do not need, add what you do. The point is that they make your work easier.
✅ Set up your listing report folder
Create one folder in Drive with one report spreadsheet per listing, using the template on the master list.
